  • Ability to communicate efficiently in English using proper grammar, in a pleasant manner.
  • Positive and professional work demeanor required.
  • Typing and experience with Microsoft Office applications and other business equipment required.
  • Able to prioritize workload independently.
  • Must be able to handle a multiplicity of routine tasks, following specific instructions carefully and general instructions completely.

  • Must enjoy working with seniors and be understanding of the needs of seniors.

General Summary:

The Flex Administrative Assistant is responsible for providing administrative and clerical support to the Director of Administrative Services, fulfilling any and all tasks as needed/directed, and a variety of other job tasks as assigned by the Director.

Essential Job Duties:

1. Receives, sorts and files documents as necessary for the Director of Administrative Services.

2. Acting as Receptionist during assigned time periods and as requested/directed by supervisor. Acting as back-up/ “on call” Receptionist for illness and vacation, as available. Reception duties can include:

a) Opening and closing the reception desk and properly secures all files, keys, and equipment.

b) Communicating to the appropriate parties, promptly and clearly, all messages and material directed to the Receptionists.

c) Completing work duties in adherence with established policies and procedures.

d) Accepting and recording, as directed, work orders, reservations, appointments, cancellations, and the like.

e) Accepting, sorting, and delivering administrative mail. Acting as back up support for the Concierge and accepting, sorting, logging, and delivering all incoming packages and parcels when necessary.

f) Assisting Residents with communication in order to re-enter to their Independent Living apartment in the case of a lockout. Completing the re-programming and creation of keycards as necessary.

3. Ordering and refilling supplies as necessary to keep the work room appropriately stocked. Maintains a tidy work room.

4. Performing audits of reception processes to ensure accuracy as directed.

5. Cross-training in various departments for clerical tasks.

6. Managing regular inventory and organization for the administrative workroom.

7. Assisting with other clerical tasks as directed.
